How to book hotel rooms for a group — without the last-week scramble
Ten or more rooms changes how hotels quote, what they ask you to commit to, and when you need to decide. Here is the process, the terms to read carefully, and how to compare offers like-for-like.
Step 1 — Get four numbers before you contact any hotel
Hotels quote faster and better when the brief is complete:
- Dates, including arrival and departure patterns (does everyone arrive together?).
- Rooms per night, split into single and twin/double occupancy. On twin sharing, a team needs roughly half its headcount in rooms: 60 people ≈ 30–35 rooms.
- Budget per room per night, and whether it includes GST.
- What else you need: a meeting room (and for how many, in what layout), meals, airport transfers, parking.
Step 2 — Shortlist hotels that actually fit the group
Size matters more than star rating. A hotel with 100 rooms can hold a 30-room block easily; a 45-room boutique resort often can’t, especially on weekends. Check that the meeting space seats your group in the layout you want — theatre style seats far more people than a boardroom or classroom setup.
Step 3 — Ask for a written quote with the same inclusions
Ask every hotel for:
- room rate per night, per occupancy, with GST shown separately;
- what’s included (breakfast, Wi-Fi, meeting room, AV, coffee breaks);
- the cut-off date for the rooming list;
- attrition allowance and cancellation terms;
- deposit and payment schedule;
- how the invoice will be issued (company name and GSTIN).
Step 4 — Read the terms that cost money

Step 5 — Lock the rooming list and keep one owner
Most problems on arrival day come from last-minute name changes that never reached the hotel. Keep one person responsible for the rooming list, send changes in writing, and reconfirm with the hotel 48 hours before arrival.

Most hotels switch to group pricing and group terms at around 8–10 rooms on the same night. Below that, you usually book at normal rates, room by room.
Six to ten weeks ahead is comfortable for most cities. For December and January offsites, conferences in peak season, or weekends at resorts near Mumbai and Pune, start earlier — resorts with enough rooms for a large group fill first.
The date by which you must send the final rooming list. After it, rooms you haven't confirmed are released back to the hotel, and the group rate may not apply to late additions.
The share of blocked rooms you can drop without paying for them. If your contract allows 10% attrition on 30 rooms, you can reduce to 27 free of charge; drop to 24 and you may pay for the three rooms below the allowance.
Convert both into the total cost per room per night including GST, then check what's included: breakfast, meeting room, projector, Wi-Fi, parking, coffee breaks. A lower room rate with a separately charged meeting room is often the more expensive offer.
