Booking hotels for employees — a simple system for SMEs

Most small companies don't need a travel department. They need four things: a short policy, one way of booking, invoices in the company's name, and someone who picks up the phone when a stay goes wrong.

Why this matters more than it looks

Over half of the enterprises surveyed for Thomas Cook India and SOTC’s Business Travel Report 2026 said GST applicability and input tax credit were a challenge, particularly for hotel stays. For small companies the problem is usually simpler: employees book wherever they like, and the invoices arrive in their own names.

The four-part system

1. A one-page policy. Set a nightly cap by city (metros higher than tier-2 cities), who approves, and the non-negotiable rule: every invoice in the company’s name with its GSTIN.

2. One way of booking. Pick one channel — a travel desk employee, a corporate booking platform, or a booking service — and route every stay through it. You get consistent rates, one place to see spending, and invoices that are right first time.

3. Invoices that survive audit. Company legal name, GSTIN, hotel GSTIN, GST shown separately. Remember the ₹7,500 line: above it, 18% GST comes back as credit; below it, the 5% does not. See our GST on hotel rooms guide for the numbers.

4. Someone accountable during the stay. Rooms that aren’t ready, a check-in that doesn’t match the booking, an invoice with the wrong name — someone has to fix it while the employee is standing at the desk.

Choosing the right hotel for a work trip

Common questions

Yes, but keep it to one page: a nightly budget cap by city tier, who approves bookings, how far ahead to book, and the rule that every invoice carries the company's name and GSTIN. Longer policies don't get read.

It's the most common setup and the most expensive one. Invoices often come in the employee's personal name, rates vary widely for the same hotel, and finance sees spending only after the trip. Booking through one channel fixes all three.

Only on rooms above ₹7,500 a night, which carry 18% GST with input tax credit, and only with a valid invoice in your company's name and GSTIN for a business purpose. Rooms up to ₹7,500 carry 5% GST with no credit.
